Job Description

We are looking for a fast learner who can think on their feet and enjoys taking ownership of projects from start to finish.
The Learning Coordinator will support our dedicated sales and marketing team for all administration, scheduling, booking and invoicing.

MAIN RESPONSIBILITIES

· Manage the training calendar, ensuring it is up-to-date with all booked programmes and trainer availability.
· Set up Training programmes using online Project Management software.
· Diarise actions, appointments and tasks for Trainers, the Training Design Team and Senior Staff.
· Support Training Delivery Project Managers on training programmes.
· Organise, send out and collate pre-programme information, research and questionnaires from clients, delegates and trainers.
· Liaise with clients on all the logistics of programme set-up and roll-out.
· Book hotels and travel for our trainers.
· Ensure Training materials are created, printed and couriered to training venues in good time.
· Raise invoices
· Arrange venues, lunch & refreshments, materials and equipment for company meetings.
· Data entry of receipts and invoices in the company financial software.
· Provide PA assistance for the directors when required.
· Maintain office supplies for the company.
· Support various departments with information requested in a timely manner
· Support Reception staff when they are on holiday
· Ensuring all systems are up to date and contain all agreed information.
· Ensuring that all types of course materials are ordered and that these are delivered to the venue prior to the start of the course.
· Ensuring appropriate contracts, purchase orders and funding approvals are in place.
· Tracking registration trends and alerting appropriate Learning Consultant of over/under subscriptions.
· Answering Learner enquiries,
· To be a point of contact in absence of senior staff

Requirements

IT IS ESSENTIAL YOU HAVE

· At least two years’ previous office experience in an administrative/PA capacity (training background would be beneficial).
· Confidence using Microsoft Office programs, especially Excel, Outlook and PowerPoint.
· Are a quick learner with IT Systems
· Outstanding ENGLISH spelling, grammar and punctuation skills.
· Naturally gifted verbal and written communication skills.
· Excellent organisational and prioritisation skills with an acute attention to detail.
