Core function:
To provide an efficient and effective reception service, acting as the initial representative of clients, visitors, and employees in a friendly and helpful manner.
Principal Responsibilities:

  • Greet, register and badge visitors.
  • Receive and/or direct to the appropriate on-site location, incoming local deliveries.
  • Answer and direct phone calls/mails, respond to general inquiries and support administrative requests. Respond to questions from staff and visitors regarding directions, local services, amenities and building locations.
  • Monitor staff and visitors who enter secured areas.
  • Assist shipping requirement, pack and wrap courier shipments and book courier shipments for local or interstate deliveries.
  • Coordination of onsite events.
  • Monitor and or book/manage customer facing conference room and calendars and cancellation requests. Ensure the customer facing meeting room is kept neat and tidy. Escort visitors to conference rooms ensuring visitors do not enter secured areas.
  • Collect newspapers and distribute as required. Receive and sorting daily mail/deliveries/couriers. Incoming & outgoing correspondence register.
  • Maintain customer areas supplies (beverage bottles, leaflets, stationary, catalogues, etc) and oversee rental equipment for customer area (for example, VGA cables and power strip). Coordination of Maintenance and sanitizing waiting area.
  • Parking list & access control coordination. Check-list preparation (monitoring all office rooms kept it neat and tidy) and etc.

Reikalavimai

Personal attributes:

  • Previous experience in a reception or customer facing role.
  • Excellent verbal and written communication skills.
  • Experience of complaint handling procedures.
  • Attention to detail during periods of high workload.
  • Working as an excellent team member but also able to work on own initiative.
  • PC Skills – Knowledge of Microsoft Office (Experience using Word, Excel and other common IT programmers).
  • English-language competencies adequate to communicate with English speaking visitors, customers, clients and employees in order to guarantee proper execution.
