Transitions Manager

Job Description

To drive the transition of all the countries to the SSC incl. project planning, dependency tracking and risk handling. In the long run, the Transition Manager will be responsible for planning, driving and coordinating the projects across SSC.

Responsibilities:

During transition:

  • Lead and manage the SSC transition;
  • Ensure that all services are ready for transfer at go-live and that the SSC is ready receiving;
  • Build and manage the plan for work shadowing in the transition period covering all services;
  • Coordinate the work of the functional work stream resources (as they are responsible for execution of transition activities and knowledge transfer as well as change & communication and HR matters);
  • Ensure the involved resources have clear role and responsibility descriptions and the required knowledge related to transition;
  • Allocate required resources to ensure stable performance;
  • Manage stakeholder mapping of each country;
  • Identify and suggest improvement areas;
  • Manage the hyper-care period until cut-over and close;
  • Execute knowledge transfer activities from local organisation;
  • Cascade knowledge and ensure adequate process/system documentation is captured;
  • Ensure quality review is performed for processes during handover;
  • Handover of all relevant documentation and knowledge to the SSC;
  • Ensure SLA and KPIs are agreed and reporting schedule in place, governance model, escalation path, Business Continuity Plan, Business Impact and other necessary agreements are signed between countries and SSC;
  • Ensure all stakeholders are aware of communication model with SSC.

After transition:

  • Ensure that the to-do split in roles and responsibilities are clearly understood between the countries and the SSC;
  • Lead project resources, project priorities and change loads across all streams in the SSC according to defined plans and schedules;
  • Set the strategic direction for continuous improvement and optimization effort in the SSC;
  • Responsible for managing the SSC project portfolio incl. project planning, status reporting, follow-up on issues and risks – across the process areas;
  • Provide and QA required project management tools and templates (e.g. risk logs, status reporting);
  • Provide process tools and templates and process tool- conventions and - methods to drive process continuous improvement;
  • Provide support to project related tasks in the SSC;
  • Identify and suggest improvement areas across the SSC;
  • All work needs to be conducted in compliance with Global Standards for HR procedures, policies, processes and learning & development programmes;

Execute all other position related tasks delegated by line manager.

Requirements

  • +5 years of experience with transition of services
  • Project management of change projects
  • Stakeholder management and good collaboration skills
  • Understand the shared services model
  • Preferably knowledge of process documentation and knowledge transfer methodology
  • Focus on quality in deliverables
  • Self-driven and outgoing personality
  • Flexible and willing to travel much
  • Full professional proficiency of written and oral English
  • International mind-set
  • Experienced user of Microsoft Office – especially Excel, Visio, MS Project
  • SAP experience is preferred

Education:

Master degree in Business, Finance or similar
