Job Description

Our mission is to promote and protect abroad the values, interests and economic well-being of Ireland and its people. We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.

The Embassy is seeking to recruit a resourceful, proactive and flexible individual with previous experience in a similar environment to fill an Executive Assistant position on a full-time, permanent basis from January 2026. This role will be based at the Embassy of Ireland in Vilnius.

Roles and Responsibilities:

The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:

  • Providing support to the Ambassador and the diplomatic team;
  • Event and visit management;
  • Contacts management;
  • Management of the Embassy’s website and social media platforms;
  • Facilities manager;
  • General clerical duties associated with the above;
  • Working closely with other Embassy team colleagues as appropriate;
  • This role involves the use of Information Technology such as word processing, spreadsheets, databases, email, internet and online systems.
  • Other duties which can be expected from time to time:
    • Occasionally sharing the emergency out-of-hours duty phone responsibilities
    • Providing cover for temporary absences by Embassy colleagues (e.g. annual leave) working on consular, administrative or policy matters
    • Providing support at Embassy events, during and outside office hours

Requirements

Essential Requirements:

Candidates must:

Be able to communicate effectively in English and Lithuanian;

  • Have a minimum of 3 years’ professional experience in a similar role;
  • Have evidence of providing excellent interpersonal skills, working in a team and dealing effectively with people in external organisations;
  • Have proven ability to build relationships and maintain a network of contacts across relevant public and private sector bodies;
  • Have evidence of flexibility, efficiency, and effectiveness, showing strong organisational skills, attention to detail, ability to work under pressure, and manage multiple tasks;
  • Be solutions-oriented, and committed to delivering results, including by adapting approach if necessary;
  • Have working knowledge of Microsoft Office Suite (Outlook, Word, Excel) and openness to learning new ICT systems;
  • All applicants must have a permanent legal right to reside and work in Lithuania.

Desirable Skills and Experience:

  • Experience working in a bilingual environment through multiple languages;
  • In light of the Embassy’s secondary accreditation to Belarus, ability to work in Russian or Belarusian;
  • Knowledge of Irish and other European languages;
  • Ability to work in a small team;
  • Previous experience in a diplomatic mission and a knowledge of both Lithuania and Ireland;
  • Good knowledge of the Lithuanian public administration system at different levels (national, regional & local);
  • Previous experience translating and proofreading documents.

Additional information

Terms and conditions of employment:

  • The successful candidate will be hired initially on a fixed-term contractual basis from Monday to Friday, 40 hours per week, with standard office hours from 9am to 5pm.
  • The role is based at the Embassy of Ireland, Vilnius.
  • Annual Leave entitlement 20 days per annum.
  • The salary for the position is €29,175.14 gross per annum, paid locally on a monthly basis. Salaries are paid directly to a bank account, therefore, the successful candidate must have a bank account.

Selection Process:

  • Depending on the number of applications received, the Embassy may short-list candidates to be called for a capability-based interview.
  • It is planned that interviews will be held in early January, with the successful candidate commencing employment as soon as possible thereafter.
  • A skills test may be included in the recruitment process.
  • A second interview may be included in the recruitment process.
  • A panel may be set up depending on the calibre of candidates.

Security Clearance for Local Staff

Police security clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position, they will be required to supply this information again.
