People Operations Intern

Job Description

As a People Operations Intern  within our team, you will play a  crucial role in ensuring a seamless and customer-focused experience throughout our employees (referred to as Wisers) lifecycle by supporting our team members to excel at Wise.

You will be based in Tallinn, with the opportunity to engage in global projects both within our team and alongside other People sub-teams. These efforts will ensure we have the foundations in place for our tribe to succeed as a trusted advisor and partner.

And you’ll likely come up with ideas to improve our team's operations. To start, you'll work on onboarding projects to enhance your skills before initiating your own innovations.

Achieving your mission:

Onboarding support:

  • Manage the administrative process of onboarding new Tallinn Wisers, ensuring that the Wiser journey is as smooth as possible with everyone kept in the loop

  • Support Wisers in their pre onboarding journey by organising travel and coordinating visa documentation

  • Coordinate adaptable onboarding plans and support hybrid work changes

  • Partner with our User Tech and Workplace teams for successful day one set up and handle new Wiser administration tasks (e.g. payroll documents, right to work checks, etc.)

  • Support Leads with any onboarding guidance needed and administrative support for new Wisers

Wiser support:

  • Handle initial Wiser inquiries, and escalate when necessary

  • Ensure accurate Wiser data in our HR system (Workday)

  • Prepare essential Wiser documentation(e.g. employment agreements, references, visa invitation letters, etc.) and assist Payroll with their requirements.

  • Maintain up-to-date content for our Wisers on Confluence (our content workspace)

Team initiatives:

  • Collaborate with the team on local and global projects

  • Contribute ideas for improvement and new projects during planning cycles 

  • Assist the team with ad-hoc tasks and project-based work

Qualifications

  • Strong interest in a people-focused career path.

  • Positive and customer-oriented attitude with a proactive mindset.

  • Flexible and adept at finding solutions.

  • Proficient in computer skills, preferably with experience in G-Suite.

  • Exceptional written and verbal communication skills in English.

  • Meticulous attention to detail.

  • Demonstrated ability to handle confidential information professionally.

  • Willingness to take responsibility and learn from mistakes.

And these would be great, but aren’t essential:

  • Previous experience in a similar role or related field (e.g. customer service, human resources, office administrator)
