Workplace Experience Specialist (HQ)

The Workplace Experience Team creates diverse, flexible, and engaging work environments across Vinted offices, warehouses, and verification centres. As a Workplace Experience Manager, you will manage the day-to-day operations and facilities of our Vilnius office. You will work with the Workplace Experience Team to ensure Vinted’s workplace standards are consistently applied, while identifying opportunities for improvements and driving continuous enhancement initiatives.

You will represent Vinted and the Workplace Experience Team by managing relationships with external partners, including cleaning, catering/canteen services, and other office service providers, and act as a local ambassador by leading office tours, delivering presentations, and organising local events that strengthen employee engagement and collaboration.

• Oversee day-to-day office operations, including facilities, housekeeping, events, and gym, while identifying opportunities to improve the experience
• Manage vendor relationships, negotiate contracts, and drive continuous improvements
• Plan and monitor yearly budgets, track spending, and make operational decisions
• Organise inclusive events that build culture and strengthen team connections
• Handle business-as-usual tasks such as reception support, data analysis, office tours, and onboarding presentations
• Work in shifts in the Vinted online support portal, consistently striving for better results
• Ensure compliance with legal, health, safety, and environmental standards
• Monitor office capacity, adjust seating plans, and contribute to layout planning
• Manage ad hoc projects and operational challenges within your scope
• Maintain a thorough understanding of Vinted-wide policies, including Business Travel, Home Workstation Budget and others
• Keep all Workplace Experience resources up to date: Confluence pages, welcome emails, etc.
• Communicate clearly with all Vinted via Slack and internal platforms
• Collaborate closely with People, Finance, Legal, IT, and other stakeholders

This is an on-site position based at our Vilnius HQ

• Have experience in facilities management, workplace experience, or office management
• Have a strong understanding of vendor management and service provider oversight to ensure high-quality delivery
• Care deeply about taking ownership of day-to-day operations and driving continuous improvements
• Excellent written and spoken English and Lithuanian (mandatory)
• Comfortable with managing multiple priorities and ad hoc situations in a dynamic office environment
• Good at time management, detail-oriented execution, and communicating confidently with internal stakeholders across teams
• Well-versed in event organization and execution
• Demonstrating a proactive, highly independent work style with a positive, adaptable mindset
