Position Summary:

Trusted advisor to the organization, responsible for the supervision of all office administration and related organizational affairs activities. To lead, coach and develop office administration team.

 

Key Responsibilities:

  • Implement critical Site related administration actions, programs, and initiatives linked to business plans.
  • Partner with management on specific site admin related actions and project implementations.
  • Provide support to Executive Site Leadership team.
  • Act as a change agent and support key change management initiatives for the site and/or assigned business teams.
  • Coach and supervise the work and performance of the Office Administrators team.
  • Manage the entire process and all related organizational activities with regards to the Company site visitors and business trips.
  • Manage the budget dedicated to the office and ensure the timely quality procurement of office supplies and technical equipment.
  • Manage the process, effectiveness and compliance to the regulations applicable to the management of the incoming and outgoing Company correspondence.
  • Manage the system and the process of archiving the company correspondence and clerical documents.
  • Drive and support the process of Management review and all related activities according to Quality Management requirements.
  • Drive and support the organisation of the Company events, consult and align with relevant stakeholders regarding the budget, venues, accommodation, entertainment and hospitality, corporate gifts, etc.
  • Manage the budget of the Company‘s media subscriptions and books.
  • Oversee the planning and design of the office workspace as well as work, rest and other meeting spaces in cooperation with other relevant departments.
  • Provide and drive the implementation of proposals as to how to improve the delivery of the main responsibilities and the office administration function.

Reikalavimai

Requirements:

  • University degree (degree in business administration is an advantage).
  • Fluent in Lithuanian and English.
  • Computer literacy (MS Office).
  • Must have at least 5 years experience in managerial role leading a team.
  • Proven experience in leading implementation of programs and processes that yield positive results.
  • Experience of effective challenging and influencing at senior manager level.
  • Ability to manage own time and workload and juggle conflicting priorities.
  • Demonstrate evidence of influencing and coaching skills.
  • Strong process improvement orientation.
  • Strong analytical skills.
  • Ability to work in a complex matrix managed environment with the skills to influence and lead people through personal and professional credibility.
  • Commercial and manufacturing business knowledge and orientation.
  • Expertise in behavioral change and the change process; experience and knowledge of change management principles and methodologies.
  • Exceptional listening skills with an emphasis on understanding, empathy and a high affinity to effectively work together with people of many different cultures.
  • Ability to work in a fast-paced, complex, and rapidly growing/changing work environment; demonstrate organization and prioritization skills.
  • Self-motivation with a bias for action and a keen sense of urgency.
