Office management: oversee the daily operations of the office, ensuring a smooth and efficient work environment. Manage office supplies, equipment, and maintain the office condition.
Invoices management: handle the processing and filing of all invoices. Ensure timely payment of invoices, manage expense forms.
Recruitment support: assist in the recruitment process by posting job ads, screening resumes, scheduling interviews, and conducting preliminary phone calls.
Inventory support: assist the Finance Manager with inventory management by maintaining accurate records of office assets and supplies.
Event coordination: plan and execute Mediq BSL events, including meetings, conferences, and office celebrations, ensuring they align with the company's culture and objectives.
Office life and traditions: foster a positive office culture by coordinating office traditions and initiatives that promote team bonding and employee engagement.
Ad-Hoc tasks: take on additional responsibilities as needed to support the executive team and office operations.
Health and Safety compliance: ensure the office adheres to health and safety regulations. Manage related documentation and conduct safety drills as required.
Requirements
Bachelor’s degree/Student in Business Administration or related field.
Experience as an Executive Assistant, Office Manager, HR Admin or similar role.
Good organizational and time management skills.
Strong communication and interpersonal abilities.
Helpful, proactive and responsible.
Familiarity with office management procedures and basic accounting principles.
Proficiency in MS Office and office management software.
Ability to handle confidential information with discretion.
A proactive approach to problem solving and strong decision-making capabilities.
Excellent written and verbal communication skills in English (C1/C2 level).
